Request to attend a meeting
Visitors can make a presentation at the meeting. This is can be related to an item on the agenda or another issue of concern.
Attendance only
If you wish to just attend the Traffic Committee and listen to the Committee’s discussion you will not have the opportunity to present your views, ask questions and answer questions from the Committee.
Attendance and presentation
It is acceptable for you to attend and provide a short presentation on your issue of concern. There are a few presentation rules that apply which are outlined below:
- Presentations should only be for 5 minutes. Handouts can be provided to the committee if this assists you in explaining the issue and in increasing the committee’s understanding of the issue.
- A short session of question and answer (Q&A) is permitted, facilitated by the Chair following the completion of the presentation. The aim is to clarify any information provided on the issue with committee members. You will have an opportunity to ask questions as well.
- You must leave the meeting room at the completion of the presentation and Q&A – the committee will consider the matter following your departure.
- You will need to confirm on the day whether you permit the handouts to be provided as part of the report to Council. This can be helpful but it is your decision.
Typically, an item which has a presentation from a visitor is considered as early as possible in the meeting to minimise the inconvenience to, and time spent in the meeting, by the visitor.
